The terms for using Atlas5: company authority, agent instructions, bookings, payments and responsibilities.

About these terms

These terms govern access to the Atlas5 website and business travel service, operated by TPixel, Inc. “Atlas5,” “we” and “us” mean TPixel, Inc.; “customer” means the organization using the service; “you” means the customer or an individual using Atlas5 with its authorization. Atlas5 is powered by TrustPixel.

Use the service only if you can enter into a binding agreement and have authority to act for the customer where relevant. An individual user cannot commit their company to spending, permissions or commercial terms beyond the authority that company has given them.

A separately agreed order form, service agreement or data processing agreement governs the matters it addresses and takes precedence over conflicting website terms. Supplier terms govern the travel services purchased from that supplier. The privacy policy explains personal information handling.

What Atlas5 provides

Atlas5 helps a company plan and manage business travel through the app and supported connected services. It can interpret a request, present options, apply company rules, route approvals, coordinate authorized booking and payment actions, and maintain records. Features depend on the plan, company configuration, supported connections and availability.

Atlas5 is not an airline or hotel operator. Travel suppliers are responsible for delivering their services under their terms. The identity of the relevant supplier and the applicable booking conditions are part of the booking information. A feature marked “coming soon” is not a commitment that it is currently available or will launch on a particular date.

Website demonstrations are illustrative. Sample conversations, fares, names and amounts do not create reservations, move money or guarantee an offer.

Accounts and company administration

  • Use accurate information and a work identity you are authorized to use. Keep account access secure and do not share credentials.
  • The customer is responsible for appointing administrators, maintaining membership and permissions, and promptly removing access when someone leaves or changes responsibilities.
  • Administrators are responsible for configuring travel rules, approval chains, spending authority and integrations to reflect the company’s requirements.
  • A person booking for someone else must be authorized to do so and must supply accurate traveler information.
  • Report suspected unauthorized use promptly to your administrator and the Atlas5 contact provided for your company.

Instructions, approvals and AI

An instruction to search or compare options is not itself a reservation. A booking action requires the authorization applicable to the workflow. The customer is responsible for deciding who may authorize spending and which actions may be delegated to the agent within the company’s configured limits.

Before giving an approval or booking instruction, review the traveler, route, dates, price, currency, cancellation conditions and any other material details. An approval authorizes the action described; it does not authorize unrelated purchases. A change that requires a new approval must follow the relevant workflow.

AI-generated content can contain errors, omit context or misunderstand an instruction. Do not treat conversational text as a supplier confirmation, legal advice, immigration advice or a guarantee of a result. The booking record and supplier confirmation determine the confirmed arrangements.

Company policy checks support the configured program. The customer remains responsible for the suitability, lawfulness and accuracy of its policies and for decisions made by its authorized users.

Prices and booking confirmation

Fares, hotel rates, inventory and applicable taxes can change until the supplier confirms the booking. A search result or payment authorization alone does not mean a booking is confirmed. Wait for a confirmation and check its details before relying on the trip.

Supplier conditions may include baggage limits, check-in deadlines, deposits, local taxes, resort charges, non-refundable rates and restrictions on changes. Review the conditions presented for the selected option. Charges payable at the property or directly to a supplier remain the traveler’s or customer’s responsibility as disclosed.

The customer and traveler are responsible for correct names and contact details, valid travel documents, visas, entry requirements and fitness to travel. Atlas5 does not guarantee admission to a destination or suitability of a trip for a particular traveler.

Plans, fees and payments

Atlas5 is in pre-launch. An early-access request expresses interest; it does not create an account, confirm access or commit the requester to a purchase. At launch, Startups and Business will be free to start. Enterprise pricing is agreed with the customer. “Free to start” does not make flights, hotel stays, supplier charges or every future feature free. Any Atlas5 service charge, paid plan or additional fee must be disclosed in the applicable offer, order form or checkout before it is accepted.

Use only payment methods you are authorized to use. By authorizing a transaction, you authorize the applicable amount and disclosed charges under the relevant booking and payment terms. Payment providers may perform authentication, fraud or other checks and may decline or delay a transaction.

Coinflow provides payment processing support for Atlas5. Its own terms and notices may apply to activities it performs directly. Payment authorization, capture, settlement and refund are distinct steps; an authorization may appear as a temporary hold. An unsuccessful booking or payment attempt must be checked before retrying to avoid a duplicate instruction.

The customer is responsible for accepted charges and applicable taxes. Currency conversion and fees charged by a card issuer, bank or supplier are governed by that provider. Any billing concern should be raised promptly with the transaction reference and relevant details.

Changes, cancellations and refunds

Changes and cancellations depend on the supplier’s conditions and available inventory. They may require an additional payment, approval or acceptance of a new fare. A request to change or cancel a trip is not complete until it is confirmed.

Refund eligibility, amount and timing depend on the applicable booking conditions, supplier action and payment method. Non-refundable bookings may not qualify for a refund. Where a refund is due, banking and processing time can follow the supplier’s approval.

If a supplier changes or cancels a service, the available remedies depend on that supplier’s terms and applicable law. Do not assume Atlas5 provides travel insurance, a replacement service or emergency assistance unless your agreement expressly includes it.

Acceptable use

You must not use Atlas5 to:

  • Commit fraud, make unauthorized purchases, impersonate another person or provide information you have no right to use.
  • Bypass permissions, payment checks, approval requirements or another company’s data boundaries.
  • Upload malicious code, disrupt the service, attempt unauthorized access or extract credentials or personal information.
  • Probe or test security without permission, other than activity expressly permitted by an applicable disclosure program.
  • Infringe intellectual property, confidentiality or privacy rights, or violate applicable law, sanctions or export restrictions.
  • Resell access or systematically extract service content without authorization or a right provided by law.

Customer information and confidentiality

The customer retains its rights in the information it provides. It gives Atlas5 permission to process that information as needed to provide the authorized service, support it, protect it and meet applicable obligations, subject to the customer agreement and data processing terms. The customer is responsible for having the notices, permissions and lawful basis required for the information it supplies.

Each party must protect non-public information received from the other and use it only for the agreed relationship or as permitted by law. Disclosure to personnel and service providers must be limited to those who need it for that purpose and are subject to appropriate confidentiality obligations. This does not restrict information already lawfully known, independently developed, made public without breach, or required to be disclosed by law.

A customer’s privacy or security requirement is not accepted solely because it is mentioned in a chat. Specific requirements must be reflected in the applicable agreement.

Ownership and permitted access

Atlas5 and its licensors retain rights in the service, software, website design, documentation and branding. Subject to these terms and the applicable agreement, authorized users may access the service for the customer’s internal business purposes. No ownership of the service is transferred.

Supplier content and third-party names remain the property of their respective owners. Do not imply their endorsement of Atlas5 or your use. Feedback may be used to improve the service, but providing feedback does not transfer ownership of the customer’s confidential information.

Connected services and availability

Connecting a third-party service authorizes the information exchange needed for the features you enable. The customer is responsible for permissions and for its agreements with those providers. Their availability, policies or technical changes can affect an integration.

The service may be interrupted for maintenance, failures, security measures or circumstances outside reasonable control. No uptime, response-time or support coverage commitment applies unless included in your agreement. Keep access to supplier confirmations and the contact information needed for a trip.

We may change the service over time. Material changes to agreed paid services are subject to the customer agreement and applicable law.

Suspension and ending access

Access may be restricted or suspended when reasonably necessary to address misuse, a security threat, unauthorized activity, a legal requirement or a material breach. Where practical and lawful, the customer will be informed and given an opportunity to resolve the issue. Restrictions should be proportionate to the reason for them.

The customer may end its use subject to any agreed subscription or order-form terms. Ending access does not automatically cancel existing reservations, reverse payments or waive outstanding charges. Handle open trips and supplier obligations separately.

Return, retention or deletion of customer information follows the applicable agreement, privacy policy and legal requirements. Provisions that by their nature need to continue, including payment obligations, confidentiality, ownership and accrued rights, continue after access ends.

Warranties and responsibility

Except for express commitments in an applicable agreement and rights that cannot lawfully be excluded, the website and service are provided on an “as available” basis. We do not promise uninterrupted operation, error-free AI output, the lowest available fare or the performance of an independent travel supplier.

Each party remains responsible for its own acts and omissions under the applicable agreement and law. To the extent permitted by law, neither party is liable to the other for indirect or consequential losses arising from use of the service. Any agreed liability cap or additional allocation of responsibility must be set out in the customer agreement.

Nothing in these terms excludes or limits liability for fraud, fraudulent misrepresentation, or any liability or mandatory consumer right that cannot legally be excluded or limited. A supplier’s obligations to a traveler are not reduced by these terms.

Resolving concerns and applicable law

Raise a concern with the Atlas5 contact provided for your company, including the booking or account reference and the outcome sought. The parties should first try to resolve the issue through their authorized contacts. This does not prevent urgent relief or use of a statutory complaint or dispute process.

Governing law and forum provisions in a signed customer agreement apply to that relationship. Where none has been agreed, the applicable law and competent courts are determined by the rules that otherwise apply; these website terms do not impose a new arbitration requirement, class-action waiver or exclusive foreign forum.

Changes and general provisions

We will publish updated terms with a revised date. Material changes will be communicated as required by the applicable agreement or law. Changes do not retroactively alter a confirmed supplier booking or override a signed agreement without the required acceptance.

If a provision cannot be enforced, the remainder applies to the extent permitted by law. A delay in exercising a right is not a waiver of it. These terms do not grant rights to third parties except where an applicable agreement or law provides otherwise.
